The Visitor Management module provides a comprehensive and innovative solution for optimizing visitor management processes at a site. It enables the registration and handling of visitors from the moment of invitation until departure. Through advance visitor registration, digital visitor card management, and the Kiosk Check-in function, it simplifies arrival and access procedures, while the host automatically receives a notification about the arrival of their visitor.
By using the system, the gate service or reception can manage all tasks through a single interface, simplifying operations while increasing site security and efficiency.

Visitor Management module functions
Advance visitor registration
The GLABs Visitor module enables advance visitor registration so that, upon arrival, all required data is already available for the reception or gate service to ensure fast and professional visitor handling. This function accelerates the check-in process while ensuring accurate data management.
Online data collection
During advance registration, online data collection can also be configured, allowing visitors to enter their own data via an online interface after receiving the invitation but before arrival. In addition to being compliant with the General Data Protection Regulation, this function also supports efficient visit organization.
Visitor card management
When using visitor cards, it is possible to assign a card number to the visitor, making visitor management more efficient and more secure.
Host notification
After the visitor arrives and completes check-in at the gate or reception, the GLABs Visitor Management system automatically sends a notification to the host via email or text message. Notification parameters can be customized at company level.
Self Check-in Kiosk
Visitors arriving at the site can check in quickly and independently via a Self Check-in kiosk. With multilingual support, the kiosk ensures a smooth check-in process while digitally presenting and requiring acceptance of data protection policies, site regulations, occupational safety regulations, and similar documents. All acknowledgements are logged and stored by the system.
Emergency situation support
In the event of an emergency, the system can immediately display how many visitors are present on the site, exactly who they are, and provide access to their phone numbers for contact purposes.
Visitor data security
The GLABs Visitor Management module ensures that visitors’ personal data can only be accessed by those who require it for their work. Even the host cannot view the visitor’s personal data, guaranteeing full data protection. The system’s operation in compliance with the General Data Protection Regulation ensures that data storage and handling meet the strictest regulatory requirements.
Environmental, Health, and Safety management
The Environmental, Health, and Safety management function of the visitor management module tracks the expiration dates of visitors’ environmental, health, and occupational safety certificates and automatically alerts the responsible party at arrival if renewal is required.
Environmental, Health, and Safety management on kiosk
If a visitor does not have a valid Environmental, Health, and Safety authorization, the system automatically notifies them and provides the opportunity to review the required training material via the kiosk, allowing them to obtain valid Environmental, Health, and Safety authorization immediately.
